How to manage refunds and returns in WooCommerce
WooCommerce handles full and partial refunds from the order screen, either through a compatible payment gateway or manually. Returns are different: you need a clear policy and, for customer requests, approvals, exchanges, and tracking, a returns extension or plugin.

Write the returns policy
Go to Pages > All Pages and edit the draft Refund and Returns Policy page that WooCommerce creates. State the return window, eligible and excluded items, item condition, who pays return shipping, available refund methods, and how long refunds take.
Publish the page and link it from your footer, navigation, checkout, and order emails. Do not treat the sample page as a finished policy; adapt it to your products and the rules that apply to your business.
Review the order and policy
Open WooCommerce > Orders and check the order status, payment method, items, shipping, taxes, and any previous refunds. Compare the request with your published policy before approving it.
Decide whether the customer is returning the item, cancelling before dispatch, requesting a partial refund, or asking for an exchange. Record the reason in an order note so another staff member can follow the decision.
Process an automatic refund
Open the order, scroll to the order items, and click Refund. Enter the quantity or amount for each item, add shipping if your policy allows it, and add an internal refund note if needed. Then click the button labelled Refund via [your payment gateway].
Automatic refunds return money through the original payment method when the gateway supports the operation. Check the order notes for a successful refund message and verify the transaction in the gateway dashboard when the amount matters. A partial refund normally leaves the order outside the fully refunded status.
Use a manual refund carefully
If the gateway does not support automatic refunds, enter the quantities or amounts in the same Refund panel and choose Refund manually. This records the refund in WooCommerce but does not send money to the customer.
Immediately refund the payment in the gateway dashboard or transfer the money by the method you use for offline payments. Add an order note with the date, amount, method, and transaction reference. Changing an order status to Cancelled or Refunded by itself does not return the customer’s money.
Handle the physical return
For a product return, send the customer the return address, packaging instructions, deadline, and any required return authorisation number. When the parcel arrives, inspect the item and update the order note with the received date and condition.
Refund only the approved items and costs. If you refund only part of an order, WooCommerce records the refunded line items and keeps the order as a partial refund. Do not refund before checking whether the payment gateway, stock records, and your policy require any extra action.
Add a customer-facing workflow
WooCommerce’s built-in order screen is usually enough when staff receive return requests by email and process refunds one order at a time. It does not by itself provide a complete customer return portal with configurable eligibility rules, return reasons, approvals, exchanges, and request tracking.
For that faster route, use a returns or refund extension. Configure the return window, eligible statuses, excluded products, partial returns, refund or exchange methods, shipping treatment, approval mode, guidelines, and email notifications. A dedicated returns workflow can reduce manual email handling, but you still need to verify that the chosen payment gateway can issue the final refund.
Choose the fast way
For occasional refunds, keep the manual process: approve the request, open the order, select the quantities or amount, and use the gateway refund button. That is the shortest route and does not require another plugin.
