How to sync WordPress memberships with email lists

Map levels and email permissions

Write down each membership level and the email audience it should control. For example, map Gold members to a Gold list or tag, and decide whether expired members should leave that audience or move to a general list.

Do not treat paid membership as automatic permission for every marketing email. Keep transactional messages, member updates and optional newsletters separate, and preserve an unsubscribe decision made in the email platform. Constant Contact advises treating its subscriber preferences as the source of truth during synchronisation.

Create matching lists or tags

In your email platform, create the lists, tags or segments that match your membership levels. Use stable names such as member-gold and member-silver rather than names that may change when your marketing plan changes.

Prefer one contact record with several tags or list memberships where your provider supports it. This avoids duplicate contacts when a member upgrades, while still allowing campaigns to target the current level.

Use CSV for occasional syncs

For a small site with infrequent membership changes, export the current members from your membership plugin, include email address, name, membership level and status, then import the appropriate rows into your email platform. WooCommerce Memberships, for example, can export members filtered by status, plan, start date or expiry date.

This manual route is fine for a monthly newsletter or a small club. Its drawback is that it will not react immediately to an upgrade, failed renewal or cancellation. Keep an exclusion or suppression list, and never re-subscribe someone who has previously opted out without fresh permission.

Connect membership changes automatically

For a live membership site, use an integration or custom connection that runs when a member joins, changes level, expires, renews or changes their email address. The connection should add the contact to the new audience, remove old level memberships where appropriate, and leave the email platform's unsubscribe status untouched.

If no integration exists, a developer can connect the membership plugin's documented membership-status events to the email provider's API. Build in retries and logging, because an API timeout can otherwise leave WordPress and the email list showing different membership states.

Configure the Constant Contact connection

When Constant Contact is your email platform, Paid Memberships Pro provides a Constant Contact add-on. Install and activate it, then go to Settings > PMPro Constant Contact. Enter the Constant Contact API key and access token, choose an optional All Users List, and map each membership level under Membership Levels and Lists.

Review Unsubscribe on Level Change? before saving. The setting controls whether people are removed from old level lists when they lose a level. Do not use a broad removal option if the same lists contain contacts who joined for another legitimate reason.

Test every membership state

Create a test contact and check the complete path: new signup, successful payment, upgrade, downgrade, expiry, renewal, email address change and newsletter unsubscribe. Confirm that the contact reaches the correct list and that an old level is removed only when your rules say it should be.

The Friday failure is usually an incomplete cancellation rule: the member loses access in WordPress but stays on a paid-member email list. Check the email platform directly after each test, then run a one-time comparison between active WordPress members and current list memberships before sending a campaign.

Questions

Can I sync WordPress members without a plugin?
Yes, but only reliably for occasional updates. Export active members to CSV, separate them by membership level or add a level column, and import them into your email platform. A fully automatic sync normally needs an integration, API connection or custom code because WordPress must react to joins, upgrades, renewals, expiries and cancellations.
Should each membership level have its own email list?
Not always. Use separate lists when the levels have genuinely different consent or communication rules. Otherwise, keep one contact record and use tags or segments for the membership level. That reduces duplicates and makes upgrades easier to manage, provided your integration removes old level tags when a member changes plan.
What happens when a member cancels or expires?
The member should be removed from level-specific marketing audiences or moved to an expired-members segment, according to your communication policy. Do not automatically add them to another promotional list unless they have permission for it. Test both cancellation and expiry, because some membership systems process those events differently.
Can a member unsubscribe and still receive membership emails?
Yes, if you separate transactional membership messages from optional marketing campaigns. Keep essential account, payment and access notices under your legal and operational requirements, but honour marketing unsubscribes. Your sync must not re-subscribe someone simply because their WordPress membership is still active; the email platform should retain that preference.
