How to connect Gravity Forms to email marketing

Gravity Forms can send notification emails by itself, but ongoing email marketing needs a connection to your email platform. Use an official add-on, webhook or CSV import, then map the email and consent fields and test the complete subscription journey before publishing.

Choose the marketing workflow

Decide what should happen after a valid submission: add the person to a list, apply a tag, start an automation or send an internal notification. A Gravity Forms notification only sends an email to a chosen recipient; an add-on feed sends submission data to an external service. Gravity Forms documents feeds as the mechanism for sending entries to services such as ActiveCampaign, Mailchimp and other integrations.

Do not treat every form submission as marketing consent. Add a clear, optional consent field when the form has another purpose, and record the wording the person accepted. Gravity Forms' Consent field stores the consent details with the entry.

Prepare the form fields

Use separate fields for email address, first name, last name and any information you will use for segmentation. Add a consent checkbox with plain wording, such as agreeing to receive the selected emails, and make it required only when that is appropriate for your process.

Check that the email field contains real email values rather than a hidden field, merge tag or formatted text. If you plan to send different audiences to different lists, add a choice field and keep its values consistent with the segments in your email platform.

Use the manual route

For a one-off transfer, export the relevant Gravity Forms entries and import a cleaned CSV into your email platform. Keep only people with the required consent, match the platform's column headings, and remove duplicates before importing.

For an ongoing connection without a dedicated add-on, send entries to the platform's API through a webhook or custom code. This route is workable, but you must maintain authentication, field mapping, error handling and consent logic yourself. It also will not automatically repair failed submissions unless you build a way to retry them. Gravity Forms lists webhooks as a way to post data to custom endpoints.

Connect an add-on feed

Install the integration that supports your email marketing platform, then complete its account or API setup under Forms > Settings and the relevant add-on settings. Open the form's settings for that add-on and create a feed. Gravity Forms feeds normally contain the account connection, field mapping and rules that control when the feed runs.

Map the form's email field first, then map names, tags, lists and consent information. Add conditional logic so the feed runs only when the consent checkbox is selected, or create separate feeds for different audience choices. Do not assume a checkbox's displayed label will be converted into the value your email platform expects.

Configure notifications separately

Keep the marketing feed separate from the notification sent to your team or the person who submitted the form. Go to the form's Settings > Notifications and set the recipient, subject and message. Notifications support merge tags and conditional logic, so you can send different messages based on answers in the form.

A common Friday-afternoon failure is using email routing as if it were a delivery condition. Routing changes the recipient address, but it does not stop the notification from processing when no rule matches. Make sure every possible choice has a route, or use conditional logic when the notification should not run at all.

Test the complete journey

Submit the form with a test address and confirm that the entry is saved, the consent value is correct, the contact appears in the intended list and the expected tag or automation is applied. Test the unchecked-consent path as well: it should not subscribe the person.

Also test a repeat submission, an invalid email address and a failed API connection. Browser reloads can repeat a submission, and Gravity Forms provides a No Duplicates setting for fields such as email when you need to prevent repeated values.

Can Gravity Forms send marketing emails without another plugin?
Gravity Forms can send notification emails without another marketing integration, but it does not provide a general built-in connection to every email marketing platform. For ongoing subscriber syncing, you need a supported add-on, a webhook and custom endpoint, custom code, or a recurring CSV export and import. Notifications and marketing feeds are separate parts of the workflow.
How do I stop every form submission becoming a subscriber?
Add a separate consent checkbox and make the marketing feed conditional on that checkbox being selected. Keep the consent wording specific about the emails the person will receive, and map the consent value deliberately instead of assuming the destination platform will infer it. Why did the contact reach the list but not start the automation?
The contact may have been added to the wrong list, missed a required tag, failed a conditional rule, or still be waiting for confirmation from the email platform. Check the feed's list and field mapping, inspect the entry's consent value, and review the platform's automation trigger. A successful form submission does not guarantee that every downstream action completed.
Will existing Gravity Forms entries sync automatically after I connect an add-on?
Usually, the feed is intended to process new successful submissions, not retrospectively send every old entry. Treat existing entries as a separate migration: export the permitted records, clean the CSV, remove duplicates and import them according to your email platform's consent rules. Test with a small batch before moving the full list.
