How to generate invoices for appointments in WordPress

The short answer

WordPress does not include appointment invoicing by itself. You can create a PDF from each booking and email it manually, but an appointment booking invoice add-on is the practical choice when you need automatic numbering, tax details, payment records and email delivery.

Check what your booking plugin stores

Open a completed appointment in your booking plugin and check that it contains the customer name, email address, service, appointment date, payment status, amount, tax and deposit details you need on an invoice.

Do not assume a booking confirmation is an invoice. Some booking tools only record the reservation and payment, while invoice creation is provided by a separate feature or add-on. Appointment systems that support invoices normally provide PDF generation, invoice management and email delivery as specific functions.

Choose your invoice workflow

Decide whether you need an invoice for every booking, only paid bookings, or invoices issued after the appointment. Also decide whether customers should receive the PDF automatically, download it from a confirmation page, or receive it only when an administrator sends it.

Record the details your invoices must show: legal business name and address, customer billing details, invoice number, issue date, due date, service, appointment date, subtotal, discounts, tax, deposit, balance and payment method.

Create invoices manually if volume is low

For a small number of appointments, open the booking record, copy its billing and appointment details into your accounting system or a document template, export the document as a PDF, and email it to the customer. Keep the invoice number and the booking reference together so you can find both later.

This route is fine when you issue only a few invoices and already use an accounting system. Its drawbacks are repeated data entry, greater risk of copying the wrong total or tax amount, no automatic attachment to booking emails, and extra work when a deposit, refund or appointment change alters the balance.

Configure the invoice information

If your booking plugin has an invoice feature, enter the company information and tax settings first. Add your logo, billing address, customer fields, service and appointment fields, payment status, discounts, deposits and total amounts to the invoice template.

Set the invoice prefix, suffix, number length, due-date rule and numbering counter before issuing real invoices. Preview the PDF and check that long customer names, multiple services, recurring appointments and unpaid balances do not break the layout. Connect invoices to email notifications

Enable the invoice PDF attachment in the booking plugin's notification settings, then choose which customer message should include it. Use the customer's booking email address and make sure the message clearly states whether the document is a paid invoice, a receipt or an invoice with a balance due.

Send a test booking through each payment path you use. The common Friday problem is that the PDF is generated but not attached because the notification switch is off, the booking has no customer email, or the payment status does not meet the rule for automatic generation. Some appointment systems also generate invoices for unpaid bookings, so check the behaviour rather than assuming it.

Use an appointment invoice add-on

Can WordPress generate appointment invoices without a plugin?
No, WordPress itself does not include an appointment invoicing system. You can create an invoice manually in an accounting application or document template using details copied from the booking record, then export and email a PDF. Automatic numbering, tax calculations, payment matching and email attachments require features in your booking, ecommerce or invoicing software.
Should I invoice every appointment or only paid bookings?
Invoice according to your payment and accounting process, not just the booking status. Prepaid appointments can receive an invoice after successful payment, while unpaid or deposit-only bookings may need an invoice showing the amount due and amount already paid. Configure the rule explicitly and test cancelled, refunded and partially paid appointments before relying on automatic emails.
Can an appointment invoice include deposits, tax and discounts?
Yes, but only if the booking or invoice tool records those values separately. A suitable appointment invoice template should be able to show the service, subtotal, discount, tax, deposit, payment method, amount paid and remaining balance. Check the generated PDF with a deposit and a discount, because a plain booking confirmation may show only the final appointment price.
Why was the appointment invoice not attached to the email?
The usual causes are a disabled PDF attachment setting, an empty or invalid customer email address, a payment status that does not trigger invoice generation, or a WordPress mail delivery problem. Send a test booking, inspect the notification settings and check your mail provider's logs. Also confirm that the invoice PDF itself can be generated from the booking or payments screen.
Is a manual invoice workflow acceptable for a small service business?
Yes, manual invoicing is reasonable when you issue only a few invoices and already have accounting software or a reliable document template. It becomes risky when bookings change frequently, several staff members issue invoices, deposits and refunds are common, or customers expect instant PDFs. At that point, linking invoices to the appointment and payment record usually saves time and prevents mismatched totals.
