How to accept yoga class bookings on a WordPress site

Booking & Events Time About 45 minutes 7 steps Updated 19 Oct 2026

BOOKING & EVENTS
The short answer

You need a booking plugin for live yoga class reservations, capacity limits, payments and reminders. A form plus email or a spreadsheet is fine for a small studio, but it will not reliably prevent overbooking or show real-time availability.

The route
  1. 01Write down your booking rules
  2. 02Choose the manual route or plugin route
  3. 03Install and activate a booking plugin
  4. 04Add your yoga classes
  5. 05Configure payments and messages
  6. 06Publish and test the booking page
  7. 07Keep the timetable maintained

What you need

  • A WordPress site with administrator access
  • Your class timetable, prices and maximum class sizes
  • A payment account if classes are paid online
  • A studio email address for booking notifications

Write down your booking rules

List each class name, instructor, location, duration, price, maximum capacity, booking deadline and cancellation policy. Decide whether students book one date at a time or reserve a repeating weekly place.

Do this before configuring the site. A recurring class usually creates separate bookable sessions, so changing the timetable later may require editing future sessions rather than changing one master entry.

Choose the manual route or plugin route

For a small studio with a few bookings, create a Classes page with the timetable and add a form that collects the student’s name, email, class and preferred date. Confirm each request by email and record confirmed places in a calendar or spreadsheet.

This manual route is cheap and simple, but it does not provide reliable live availability, automatic capacity control, online payment or reminder messages. For public bookings, use a booking plugin. WordPress itself lets you create pages and install plugins, but booking rules and availability come from the plugin.

Install and activate a booking plugin

In the dashboard, open Plugins, choose Add New, search for a class or appointment booking plugin, then install and activate it. You can also upload a plugin package from the same screen.

Check that the plugin supports group bookings, class capacity, recurring sessions, customer notifications and your preferred payment method. Do not assume that a calendar display includes capacity control; those are separate features in many booking systems.

Add your yoga classes

Create each class or service with its name, instructor, duration, location, price and maximum number of students. Add the days and times, then set when bookings open and close if the plugin provides those controls.

For weekly classes, use the plugin’s recurring-event or recurring-schedule option rather than copying dates manually. Check the first few generated sessions because capacity, price and booking-window settings may be inherited from the first occurrence but edited separately later.

Configure payments and messages

Connect the payment method supported by your site and decide whether a booking is confirmed immediately or held for approval. Set the confirmation, cancellation and rescheduling messages, and add practical details such as what to bring, arrival time and the studio address.

Send a test booking to confirm that the student and instructor receive the right messages. Scheduled reminders often depend on the site’s scheduled task system, so a reminder that works in the dashboard can still fail if the site’s cron process is unreliable.

Publish and test the booking page

Create a page called Book a class and insert the booking form, calendar or shortcode supplied by the plugin. Add it to the main menu and link to it from every class description and call-to-action button.

Test the complete customer journey on a phone: choose a class, submit the form, pay if required, receive the confirmation, and try booking the last available place twice. Also test a full class, cancellation and an incorrect email address before sending visitors to the page.

Keep the timetable maintained

Review upcoming sessions regularly and update cancellations, instructor changes, holidays and room changes in the booking system. Do not only edit the timetable page, because customers may still be able to book an unchanged session in the booking database.

Collect only the information you need, explain how it is used and keep your privacy policy accurate. Names, email addresses and phone numbers are personal data, and WordPress recommends reviewing the data collected by themes, plugins and connected services.

Questions

Can WordPress accept yoga class bookings without a plugin?
WordPress can show a timetable and collect booking requests through a form, but it cannot provide dependable class capacity, availability checks, payment handling or reminders on its own. The manual method works for a low booking volume if you confirm every request yourself. Use a booking plugin when students need to see available places or book and pay without waiting for an email.
Should I use appointments or events for yoga classes?
Use group appointments or class events when several students attend the same scheduled session. Set the maximum capacity above one and confirm that the booking type allows multiple customers into the same time slot. Use one-to-one appointments only for private yoga sessions. Booking systems commonly treat capacity as the distinction between individual and group bookings.
How do I stop a yoga class from being overbooked?
Set a capacity limit on every class and test what happens when the final place is taken. Check whether the system blocks further bookings, places people on a waiting list or allows pending bookings above capacity. That last option can create an overbooked class if enabled accidentally, so review it before launch.
Why are customers not receiving booking confirmations or reminders?
Check the notification templates, recipient fields, booking status and site email delivery first. A pending booking may not send the same message as an approved booking. Scheduled reminders also depend on the site cron process, so ask your host to verify scheduled tasks if immediate emails work but timed reminders do not.
Can a yoga theme handle bookings by itself?
A yoga theme can provide class layouts, schedules and instructor profiles, but you should confirm whether its booking feature includes real availability, capacity, payments, cancellations and notifications. Mantra is a practical fast-start option for a yoga studio because it combines yoga-focused layouts with a stated booking system, but test the booking workflow and use a dedicated booking plugin if any required control is missing.
