How to build a digital marketplace with WooCommerce

Choose your marketplace model

Decide whether you are selling your own digital products or allowing other people to sell through your store. A single-seller digital shop can use WooCommerce alone. A true marketplace needs vendor registration, product ownership, vendor dashboards, commission records and a payout process, which WooCommerce does not provide by itself.

Write down who approves vendors, who approves products, when commissions become payable, how refunds are handled and which file types vendors may upload. Do this before installing extensions, because these decisions affect your settings and marketplace terms.

Use the right WooCommerce setup

Install and configure WooCommerce, then add a multi-vendor marketplace extension if independent sellers will list products. Extensions in this category add vendor registration, vendor permissions, commission settings and vendor-specific product management; the exact screens depend on the extension you choose. WooCommerce’s own Product Vendors documentation confirms that multi-vendor functionality is an extension rather than a core store setting.

If you only need a catalogue for your own ebooks, templates, audio or software, skip the marketplace extension. That is the simpler manual route, but it will not let outside sellers manage products or receive tracked commissions.

Configure vendors and commissions

Set the vendor application process, decide whether applications require approval, and choose which user roles can submit or manage products. Set a default commission type and rate, then check whether your extension allows vendor-level or product-level overrides. Configure the order status that triggers commission records and decide whether payouts are manual or automatic.

Do not promise vendors an automatic payout until the payment provider and marketplace extension support it together. For example, WooCommerce Product Vendors documents that automatic payouts require PayPal Payouts and an approved PayPal Business account; commissions can otherwise be paid manually.

Set up protected downloads

Go to WooCommerce > Settings > Products > Downloadable products. Choose a download method suited to your hosting, keep unique filename protection enabled, and decide whether customers must log in. For most digital-only products, enable access after payment so customers do not wait for a physical fulfilment status.

When creating a product, tick Virtual and Downloadable, add the file under Downloadable files, and set a download limit and expiry only if your licence terms require them. Products marked both virtual and downloadable can move directly to completed after payment.

Create and test a vendor product

Create a test vendor, submit or assign a digital product, and check the approval workflow. Confirm that the product shows the correct seller, price, commission rule, file, licence information and customer-facing terms. If vendors upload files themselves, restrict their permissions and review the approved download directories setting before allowing submissions.

Place a real test order using the same gateway customers will use. Check the order status, customer email, My Account downloads area, vendor commission record and payout balance. The common Friday problem is a successful payment with no download: check the product is both virtual and downloadable, the file URL is valid, access-after-payment is enabled where appropriate, and caching or file permissions are not blocking the protected link.

Why is a purchased download missing from the customer account?
The download is usually missing because the order has not reached the required status, the product is not configured as both virtual and downloadable, access-after-payment is disabled, or the file permission or URL is broken. Check the order, product data, downloadable product settings and server permissions in that order. A migration, caching layer or redirect-only download method can also expose file errors.
