How to send WhatsApp appointment notifications on a WordPress site
WordPress cannot send WhatsApp appointment notifications on its own. You need a booking system plus WhatsApp Business Platform, Twilio, or an integration service, along with customer opt-in and approved message templates. For occasional bookings, manual replies are fine; for regular appointments, automate the workflow.

What you need
- A WordPress appointment booking system
- A WhatsApp Business Platform or Twilio account
- A business phone number that can send WhatsApp messages
- Admin access to WordPress
- Customer consent to receive WhatsApp messages
Choose the booking events
Decide which events should create a WhatsApp message: a new booking, approval, reminder, reschedule, cancellation, payment update, or missed appointment. Start with confirmation, cancellation and reschedule messages so customers get the information most likely to prevent confusion.
Collect a WhatsApp opt-in during booking. A phone number alone is not enough permission for proactive business messages, and WhatsApp requires businesses to respect opt-out requests.
Pick manual or automated sending
For a small number of appointments, use the WhatsApp Business app with saved replies. Copy the customer’s name, service, date, time and location from your booking dashboard, then send a confirmation or reminder manually. This costs less setup time, but it is easy to miss a message when several bookings arrive together.
For automatic notifications, connect the booking system to WhatsApp Business Platform or Twilio. The connection needs to pass booking data to the messaging service and select the correct message template for each event. WordPress alone does not provide this WhatsApp connection.
Create approved message templates
Create separate utility templates for confirmation, reminder, reschedule and cancellation messages. Keep each one short and include variables for details such as the customer name, service, appointment date, time and rescheduling link. Submit the templates for approval before trying to use them from WordPress.
Do not rely on a normal free-form message for a reminder sent later. Business-initiated WhatsApp messages generally need an approved template, and the sending service must pass the variable values in the format expected by that template.
Connect WordPress to WhatsApp
Configure the booking plugin’s WhatsApp integration, or use an automation service that receives a booking webhook and sends the approved template. Depending on the route, you may need a WhatsApp phone number, phone number ID, WhatsApp Business Account ID, access token, Twilio credentials or a messaging service ID.
If you build the connection yourself, protect the access token, use an HTTPS endpoint for webhook data, and record delivery failures. A webhook can confirm that an event was received, but it does not guarantee that the customer read the message.
Map events and test them
Turn on WhatsApp notifications for the selected booking events and map every template variable to the matching booking field. Check the phone number format, including the country code, and make sure the appointment time zone is clear to the customer.
Run separate tests for a new booking, reschedule and cancellation. The common Friday failure is that confirmations work but reminders fail because the template is not approved, the token has expired, the phone number is not opted in, or the booking plugin is using a different event than the one you enabled.
Use the faster route
If your booking system is BookingPress, the BookingPress WhatsApp Notification Addon is the quickest route. Activate it under BookingPress > Add-ons, choose Twilio or WhatsApp Business as the gateway, add the required credentials, then enable WhatsApp notifications under the notification settings.
Create and approve the required templates in Twilio or Meta first. After approval, select the template in BookingPress and map its variables to appointment details. The addon is designed for booking, reschedule and cancellation updates, so it is a practical choice when you want the booking plugin to trigger the messages instead of maintaining a custom integration.

Questions
- Can WordPress send WhatsApp appointment notifications without a plugin?
- Not by itself. WordPress can store the booking and customer phone number, but it does not include a WhatsApp Business messaging connection. You would need custom code that listens for booking events, sends approved templates through Meta or Twilio, handles authentication and records failures. A plugin or automation connector is usually safer unless you maintain your own integration.
- Do customers need to opt in to WhatsApp appointment messages?
- Yes, you should collect clear consent before sending proactive appointment messages. State what the customer will receive, such as confirmations and reminders, and provide a way to opt out. Do not assume that entering a mobile number during booking automatically grants permission for WhatsApp messages.
- Why did my WhatsApp confirmation send but the reminder fail?
- The reminder often fails because it is a business-initiated message sent outside the customer-service window and needs an approved template. Other causes include an expired access token, an incorrect country code, a missing opt-in, an unmapped template variable or a reminder event that the booking plugin does not trigger.
- Can I use the WhatsApp Business app instead of the API?
- Yes, for occasional manual reminders. Save confirmation and reminder replies in the WhatsApp Business app, then send them after checking the booking dashboard. The app does not automatically know when a WordPress appointment is created or rescheduled, so it is not a good fit for a busy site that needs reliable event-based notifications.
