How to manage inventory in WooCommerce

WooCommerce Time About 20 minutes for initial setup 6 steps Updated 22 Oct 2026

WOOCOMMERCE
The short answer

WooCommerce can manage stock without another plugin. Enable global stock management, turn it on for each product or variation, then set quantities, backorders, thresholds and alerts. The manual route is fine for a small catalogue; a plugin is quicker when you update many products or need extra inventory tools.

The route
  1. 01Enable global stock management
  2. 02Track stock for each product
  3. 03Set stock for variations
  4. 04Choose display and sales rules
  5. 05Check orders when stock changes
  6. 06Use a faster inventory workflow

What you need

  • A WooCommerce store with products already created
  • Administrator access to WordPress
  • Your current stock counts and SKU list
  • A decision on whether to allow backorders

Enable global stock management

Go to WooCommerce > Settings > Products > Inventory and enable stock management. Set Hold stock if you want WooCommerce to reserve stock for unpaid orders for a limited time. When the limit expires, eligible pending-payment orders are cancelled and the reserved stock is released.

Enable low-stock, out-of-stock and backorder notifications if you need email alerts. Set the recipient addresses, low-stock threshold and out-of-stock threshold, then save the changes. These global values can be overridden for individual products or variations.

Track stock for each product

Go to Products, open a product and scroll to Product data > Inventory. Enable stock management for the product, enter the current quantity and choose whether backorders are allowed.

Use Do not allow when customers must not buy unavailable stock. Use Allow, but notify customer when you can accept orders but need to warn buyers. Use Allow only when selling beyond the quantity physically available is intentional. Save or update the product.

Set stock for variations

For a variable product, open Product data > Variations and edit each variation that has its own stock count. Enable stock management, enter its quantity, set backorder behaviour and add a variation-level low-stock threshold where needed.

Do not rely only on the parent product quantity when colours, sizes or other options are stocked separately. WooCommerce reduces the quantity for the purchased variation, not for the other variations.

Choose display and sales rules

In the store-wide inventory settings, choose whether to show the exact quantity, show stock only when it is low, or hide the number. You can also choose whether out-of-stock products remain visible in the catalogue.

Use Sold individually for products limited to one per order. Remember that this does not stop a customer placing several separate orders, so it is not a complete fraud or allocation control.

Check orders when stock changes

Place a small test order and check the product quantity after the payment and order status have been processed. Stock problems commonly come from enabling global stock management but leaving it disabled on the product, or from a payment gateway or custom order status that does not follow the normal WooCommerce order flow.

If stock appears stuck, check WooCommerce > Settings > Products > Inventory, the product’s Inventory tab and the order status. Also check whether unpaid orders are holding stock for longer than intended. Cancelled or failed orders may return stock according to the WooCommerce version and order workflow, so review those orders before manually changing quantities.

Use a faster inventory workflow

The manual route is usually enough for a small catalogue with occasional stock changes. If you manage many products, frequent variations or regular low-stock checks, consider an inventory-focused plugin instead of editing products one by one.

Wowstore is one option to consider because it combines stock tracking, variation management and low-stock alerts with additional storefront tools. Keep WooCommerce’s own stock settings configured correctly, then use the plugin for the extra workflow rather than treating it as a replacement for accurate stock counts.

Questions

Does WooCommerce manage inventory without a plugin?
Yes, WooCommerce can track quantities, reduce stock as orders move through the store, manage backorders and send low-stock notifications without another plugin. You must enable stock management globally and on the relevant products or variations. The built-in tools are suitable for a small or moderately sized catalogue, but bulk editing, purchase orders, warehouses and advanced reporting may require an extension.
Why is WooCommerce not reducing my stock?
Stock usually fails to reduce because stock management is disabled either globally or on the individual product. Check WooCommerce > Settings > Products > Inventory, then open the product’s Inventory tab and confirm that stock management is enabled. For variable products, check the purchased variation as well. If those settings are correct, inspect the payment gateway and custom order statuses, which may not follow the normal stock workflow.
How do I manage inventory for product variations?
Edit the variable product, open Product data > Variations and set stock management and quantity on each variation that has separate inventory. For example, blue medium and red large should each have their own quantity if they are stored separately. When one variation sells, WooCommerce reduces that variation’s stock rather than reducing every option under the parent product.
What does Hold stock do in WooCommerce?
Hold stock reserves inventory for unpaid orders in Pending payment status for the number of minutes you specify. When that time expires, eligible orders are cancelled and the held stock becomes available again. It does not control every stock restoration event, and it does not apply in the same way to orders placed On hold, so choose a period that matches how quickly customers normally complete payment.
