How to manage job listings and applications in WordPress

Directories & Listings Time About 45 minutes 7 steps Updated 17 Oct 2026

DIRECTORIES & LISTINGS
The short answer

WordPress core can publish job pages, but it does not manage a searchable vacancy directory or candidate pipeline by itself. For applications, use a job-board plugin with stored submissions, file uploads, statuses and email notifications. A recruitment theme can then handle the presentation.

What you need

  • Administrator access to WordPress
  • A dedicated careers or jobs page
  • A professional email address on your website domain
  • A privacy notice and application data-retention plan

Define your hiring workflow

Decide what each listing needs before installing anything: job title, department, location, employment type, salary information, closing date, description, requirements, contact address and application fields.

Choose the stages you will use for candidates, such as new, reviewing, interview, hired and rejected. Keep the form short enough that suitable candidates will finish it, and decide whether you need CV uploads, cover letters, screening questions or consent for storing personal data.

Use the manual route for simple sites

For one or two vacancies, you can create each job as a normal WordPress page and add an external email address, form or application URL. WordPress can publish the content, but it will not give you a searchable job directory, an applicant database or a candidate pipeline without additional tools.

This route is fine for occasional hiring. Its drawback appears when applications arrive: CVs are spread across email, there is no reliable status history, and removing or exporting personal data becomes a manual task. A job-board plugin is the honest answer once you need ongoing recruitment.

Install a job-board plugin

Choose a plugin that separates job listings from applications. WP Job Manager, for example, provides searchable and filterable listings through a shortcode, while its Applications add-on stores submissions and lets employers view and manage them from the dashboard. Other job-board plugins provide a similar all-in-one workflow.

Check the plugin’s current documentation before committing. Some products include application forms in the main plugin; others only provide an email or external URL until you add an application extension. Do not assume that a theme’s job layout also provides applicant storage.

Create the listings page

Use the plugin’s listing shortcode or block on a page called Jobs, Vacancies or Careers. With WP Job Manager, the [jobs] shortcode outputs job listings and search filters. Create a separate submission page only if employers or recruiters will post vacancies from the front end.

Add categories or taxonomies for department, location and employment type. Then create one listing, preview it on mobile and check that expired or filled roles are no longer presented as open positions.

Configure the application form

Build a form with name, email, telephone, cover letter or message, CV upload and any essential screening questions. Mark only genuinely necessary fields as required. If the plugin supports separate forms, assign a different form to roles that need additional questions.

Configure consent wording, CAPTCHA or another anti-spam measure, accepted file types and file-size limits. In WP Job Manager Applications, forms are managed under Job Applications > Application Forms, and settings include registered-user restrictions, duplicate-application prevention, terms consent and reCAPTCHA.

Set notifications and candidate statuses

Set the recipient for each vacancy rather than relying blindly on the site administrator address. In WP Job Manager Applications, the listing’s application email or URL determines who receives the employer notification; if no usable recipient is available, no employer notification is sent.

Open a test application, confirm that the submission is saved in the dashboard, download the CV, change its status and verify the notification email. The common Friday failure is an application that appears to submit but never reaches the hiring team because WordPress mail or the recipient address is wrong. Use an SMTP delivery service or mail plugin if test messages do not arrive, and check spam folders and upload limits.

Take the fast route with Hryzantema

If you want a recruitment-focused site without designing the job pages from scratch, use Hryzantema as the presentation layer. Set up its job layouts, application forms, candidate filtering and language options, then connect the workflow to the listing or application system you have chosen.

Import or build the careers page, add one real vacancy, submit a test application from a private browser window and check the complete path: listing, form, CV storage, notification, candidate review and closing the role. Keep a backup before changing the theme, and confirm that your chosen application system remains active after activation.

Questions

Can WordPress manage job applications without a plugin?
No, not as a proper recruitment workflow. WordPress can publish vacancy pages and link applicants to an email address or external form, but it does not natively provide application records, CV handling, candidate statuses, filtering or employer notifications. You can manage a very small number of applications manually, but a job-board or form plugin is needed for ongoing hiring.
Should applications go to email or be stored in WordPress?
Store applications in a controlled dashboard when you need to review candidates, assign statuses, add notes or keep an audit trail. Email-only applications are simpler, but CVs can become scattered across inboxes and notifications can fail silently. If you store applicant data in WordPress, set retention rules, restrict access and provide a clear privacy notice.
How do I add a CV upload to a WordPress job application form?
Add a file field to the application form and limit it to the file types and size your hiring team can safely handle, usually PDF plus any necessary document formats. Test both a valid and an oversized file. Upload failures are often caused by server limits or mail attachment limits, so confirm that the file is saved in the dashboard as well as attached to the notification.
Why are job application emails not arriving?
The usual causes are an incorrect recipient, WordPress mail delivery problems, spam filtering, a blocked attachment or a listing with no valid application address. Submit a test application, check whether it appears in the dashboard, inspect the email settings and verify the recipient address on that specific listing. Configure authenticated SMTP if ordinary WordPress mail is unreliable.
Can a WordPress theme manage candidates by itself?
Usually, a theme controls the appearance of job pages and forms rather than providing the complete application database. A recruitment theme such as Hryzantema can give you job layouts, application interfaces and filtering tools, but you should verify how submissions, CVs, statuses, notifications and data deletion are handled before making it your only recruitment system.
