How to manage customer support tickets in WooCommerce

WooCommerce Time About 30 minutes for a basic workflow 6 steps Updated 21 Oct 2026

The short answer

WooCommerce does not include a full ticket queue by default. For a small shop, manage requests through a support inbox and record replies as private or customer order notes. For teams or higher volume, connect a help desk so tickets, agents, statuses and WooCommerce orders stay together.

What you need

  • A WooCommerce store with customer order records
  • Administrator or Shop Manager access
  • A dedicated support email address
  • A written list of ticket statuses and response rules

Define your ticket workflow

Choose the support channels you will monitor, such as a support email address and a contact form. Require the customer’s email address, order number, subject and a clear description of the problem. Ask for screenshots or photos only when they are needed.

Use a short status list such as New, Waiting for customer, Waiting for warehouse and Resolved. Decide who owns each queue and when an unresolved ticket must be followed up.

Set up the manual route

For a low-volume shop, you can manage tickets without a dedicated ticket plugin. Use one support inbox, search for the customer’s order in WooCommerce > Orders, and keep the conversation in the email thread.

Record the important action on the order as a private note. Add the ticket number or email subject to the note so another staff member can see what happened. This route is inexpensive and can be enough for a solo shop, but it does not provide a proper ticket queue, assignment history or reliable status reporting. That becomes a problem when requests arrive from several channels or more than one person handles replies.

Link every request to an order

Open the matching order before replying. Check the customer’s name and email, order status, payment, items, shipping details, refunds and previous notes. If the customer did not provide an order number, search by email and confirm the identity before discussing order details.

Use a Private note for internal work. Use a customer note only when you want WooCommerce to email the customer and show the message in their order details. A customer note email cannot be recalled after it has been sent, so proofread it first.

Configure support notifications

Review the messages under WooCommerce > Settings > Emails. Confirm that the customer note email and relevant order emails are enabled, use the correct sender address and go to an inbox that someone checks.

Send a test order update and a test customer note. If no message arrives, check spam and your site’s mail delivery rather than assuming the order update failed. WooCommerce normally hands email to WordPress’s mail function, so hosting or email authentication problems can stop delivery.

Add team rules and templates

Write short reply templates for common issues such as delivery delays, damaged goods, refunds and address changes. Templates should tell the agent what to check and what evidence to request, not promise an outcome that has not been approved.

Never put internal comments in a customer note. Keep refund decisions, fraud concerns, supplier messages and personal customer information in private notes, and limit staff access to the order data they need.

Take the fast help desk route

If you need ticket numbers, customer replies by email, agent assignment, ticket statuses and an order-linked conversation, connect WooCommerce to a help desk. WooCommerce Freshdesk adds ticket creation from an order, lets customers request help from their order area and can show existing tickets in the customer account.

After installing and activating the extension, go to WooCommerce > Settings > Integration > Freshdesk. Enter your Freshdesk URL, choose the plan that matches your account, add the Freshdesk API key and save. Enable logging only while diagnosing a connection problem, then create a test ticket from both an order and the customer view. Choose this route if Freshdesk is already your help desk; otherwise the manual inbox-and-order-notes method may be enough for a small store.

Questions

Does WooCommerce include a customer support ticket system?
No, core WooCommerce provides order records, order notes and transactional emails rather than a complete support ticket queue. You can run a small manual process from a support inbox and store the important history as private or customer order notes. Once you need assignments, ticket statuses, shared conversations or reporting, connect a dedicated help desk.
What is the difference between a private note and a customer note?
A private note is for your store team and is not shown to the customer. A customer note is sent by email and appears in the customer’s order details. Use private notes for investigations, internal decisions and handovers; use customer notes for approved updates such as tracking information or a clear resolution message.
How do I find the right order for a support ticket?
Search WooCommerce orders using the customer’s email address, name or order number, then confirm at least two details before discussing the order. Check the billing email and order contents, especially when a guest customer has no account. If no order matches, ask the customer for the order number or the email used at checkout instead of guessing.
Why are WooCommerce support replies not reaching customers?
The usual cause is email delivery, not the order note itself. Check that the relevant email is enabled under WooCommerce settings, confirm the sender and recipient details, check spam, and test the site’s mail delivery. WooCommerce commonly passes mail to WordPress’s mail function, so your host, DNS records or email authentication can be responsible.
When should I connect WooCommerce to Freshdesk?
Connect WooCommerce to Freshdesk when support requests are hard to assign, customers need a visible ticket history, or agents must see order information while replying. The integration can create tickets from an order and let customers request help from the order area. If you are a solo operator handling a few requests a week, the inbox and order-notes method may remain sufficient.
