How to manage returns and warranty requests in WooCommerce
WooCommerce can process refunds and record order notes, but it does not provide a complete returns and warranty-claims workflow on its own. For occasional requests, manage them manually; for approvals, RMA numbers, tracking, status emails and reports, use a dedicated extension.

Write clear return rules
Before accepting requests, publish one policy covering the return window, eligible and excluded products, proof of purchase, item condition, return shipping, refunds, exchanges, repairs and warranty limits. Tell customers how long assessment and refunds normally take.
Ask for the order number, product, reason, photos where relevant and the requested outcome. WooCommerce recommends making these requirements and the available refund or return options clear to customers.
Choose the manual workflow
For a small shop, let customers contact support using your existing form or email address. Search for the order under WooCommerce > Orders, check the purchase date and item, compare the request with your policy, then record the decision in the order notes.
Give each approved case an internal reference, such as RMA-2026-001, and keep the request, photos, tracking number and decision together. This route costs no extra extension, but it becomes difficult to audit when requests are spread across inboxes and order notes. WooCommerce order notes are useful for records, not a customer-facing claims portal.
Approve and authorise the return
Do not ask a customer to send an item back until you have approved the request. Confirm what they should return, the deadline, the RMA reference, the delivery address and whether you will provide a label. For a warranty claim, state whether the next step is inspection, repair, replacement or rejection.
When a customer phones instead of using the form, create the same record yourself from the order number, customer name or email. A consistent record prevents a Friday-afternoon problem where a parcel arrives without an order reference or an agreed outcome.
Receive and inspect the item
Match the parcel to the order and RMA reference, then record the arrival date, condition, serial number if applicable, fault found and the staff decision. Keep delivery tracking and inspection evidence with the request.
Do not promise that every warranty claim will be refunded. A warranty may require troubleshooting, repair or replacement, while a change-of-mind return may follow different rules. Update the customer after receipt and after the inspection, even when the claim is declined.
Issue the correct resolution
Open the order and select Refund. Use an automatic refund when the payment gateway supports it; otherwise choose a manual refund and return the money through the payment gateway or another agreed method. Changing an order to Cancelled or Refunded does not itself send money back.
Refund the relevant products, taxes and shipping only when your policy requires it, add a refund reason, and check the order notes for confirmation from the payment gateway. Partial refunds are treated differently from full refunds, and WooCommerce sends different refund-email wording for each.
Add an RMA extension
Use a dedicated returns and warranty extension when customers need to submit claims from an account page, when you sell different warranty terms, or when staff need queues, statuses, tracking and reports. The extension route is not required for a handful of simple refunds, but it avoids rebuilding those parts with forms, spreadsheets and email.
