How to create shipping labels and track orders in WooCommerce

The short answer

WooCommerce can create and print UPS, USPS, DHL and FedEx labels through WooCommerce Shipping in supported US stores. After buying a label, tracking is saved to the order automatically; otherwise, buy the label in your carrier portal and add the tracking number as a customer note or with a tracking extension.

Check the order details

Go to WooCommerce > Orders and open an order that is ready to ship. Check the customer’s shipping address, product quantities, weights and package dimensions before creating a label.

A missing weight, invalid address or product marked as virtual can prevent the label option or shipping rates from appearing. Carriers usually expect fractional dimensions to be rounded up rather than rounded down.

Connect a label service

For the built-in route, install and connect WooCommerce Shipping, then connect your WordPress.com account, add and validate the ship-from address, and accept the carrier terms when prompted. In supported US stores, it can create labels for UPS, USPS, DHL Express and FedEx without requiring your own carrier account.

WooCommerce Shipping buys labels, but it does not provide live checkout rates by itself. Add a separate carrier rate extension if customers need live rates at checkout.

Create and buy the label

Open the order and select Create shipping labels in the Shipping Label section. Confirm the items, choose or enter the package, verify the total weight and select Get shipping rates. Choose a service, review the ship-from and destination addresses, then purchase the label.

Download or print the label and attach it to the parcel. If rates cannot be loaded, check the address and the required package details first; those are usually the missing pieces.

Save tracking and update status

After a label is purchased, WooCommerce Shipping generates the tracking number and saves it to the order. Find it in the Shipment Tracking area or by selecting View purchased shipping label. If it does not appear immediately, refresh the order page.

Set the order to Completed when your fulfilment process considers it shipped, or select the option to complete and notify the customer after label purchase. The completed-order email can include the tracking number. Do not mark an order complete before it has actually been dispatched.

Use the manual route when needed

If your carrier is not supported, buy the label in the carrier’s website, then open the WooCommerce order and add a public customer note containing the tracking number and carrier link. WooCommerce emails a public note to the customer and shows it in the customer’s account; private notes remain internal. You can then update the order status according to your fulfilment workflow.

This route is fine for a small number of orders, but it requires copying addresses and tracking numbers between systems. The common Friday mistake is attaching the right tracking number to the wrong order, so compare the order number and delivery address before sending the note. WooCommerce will not automatically receive carrier status updates from this manual process.

Choose the fast UPS route

For a UPS-focused store, use UPS Labels and Tracking to create UPS labels and add tracking details from the WooCommerce workflow. It is intended for stores using the Octolize platform and is the quicker option when manually re-entering UPS shipment data for every order has become a regular task.

Keep the manual route if you ship only a few parcels or use several carriers that your chosen integration does not support. Choose this shortcut when most of your fulfilment is UPS and you want label creation and tracking updates handled inside WooCommerce.

Can WooCommerce create shipping labels without another service?
WooCommerce needs a shipping-label integration to create carrier labels. In supported US stores, WooCommerce Shipping can create UPS, USPS, DHL Express and FedEx labels from the order screen after you connect the service, validate your origin address and provide package details. Core WooCommerce alone does not buy or generate carrier labels.
How do I add a tracking number to a WooCommerce order?
Add the tracking number through your shipment-tracking extension, or open the order and send a public customer note containing the tracking number and carrier link. A public note is emailed to the customer and appears in the customer’s account, while a private note is only for store staff.
Why is the Create shipping labels button missing?
The button may be missing because the order contains no product that needs shipping, the shipping address cannot be verified, or weight and package information is incomplete. Check that the items are physical products, the address is valid, and each product or package has usable weight and dimensions before refreshing the order.
Does buying a label automatically complete the order?
Not always. WooCommerce Shipping lets you choose whether to complete and notify the customer after purchasing a label; otherwise, you update the order status yourself. Set the status according to your actual dispatch process, because buying a label does not prove that the parcel has been handed to the carrier.
Is manual tracking good enough for a small WooCommerce shop?
Manual tracking is usually adequate for occasional shipments: buy the label in the carrier portal and send the tracking number in a public order note. It becomes error-prone when order volume grows because you must re-enter shipment data and remember to notify customers. A carrier integration is worthwhile when you mainly use one supported carrier, such as UPS.
