How to accept rental property bookings on WordPress

The short answer

WordPress does not include rental bookings in its core features, so you need a booking plugin or rental theme. Set up each property, availability rules, payments, notifications and calendar sync, then test checkout before taking real reservations.

Choose the booking model

Decide whether guests should book immediately or send a request for approval. Also decide whether you charge by night, day, week, month or hour, and whether you need cleaning fees, deposits, minimum stays, blackout dates or guest limits.

Use one booking resource for each property or separately bookable unit. A single shared calendar for several units can show availability incorrectly and is a common cause of overlapping reservations.

Build the manual setup

WordPress core does not provide a rental inventory, availability calendar or reservation checkout. The manual route is to install a booking plugin, add each property as a resource, and place its booking form or calendar on the relevant property page. Booking Calendar and similar tools support availability rules, booking requests, notifications and protection against overlapping bookings.

Enter existing reservations before publishing the calendar. Then set working days, blocked dates, minimum and maximum stay, check-in and check-out rules, and the status that makes a booking unavailable. The drawback is administration: payments, property layouts, reviews and multi-property management may require separate extensions or custom work.

Add properties and prices

Create a page for every rental with photographs, address or general location, amenities, occupancy, house rules, cancellation terms and contact details. Connect each page to the correct calendar resource.

Set the base rate and any seasonal rates, weekend adjustments, taxes, cleaning fees and security deposits. Check how the system treats the checkout date: for nightly rentals it is normally available for a new guest, while an incorrectly blocked checkout day can remove otherwise bookable dates.

Configure checkout and notifications

Connect the payment method supported by your booking system, then choose whether to collect the full amount, a deposit or payment after approval. Make the confirmation page and emails state the property, dates, guest count, total, payment status and cancellation terms.

Send a test booking using a real email address and confirm that the customer and administrator receive the right messages. Check that failed, pending, cancelled and refunded payments do not leave the dates permanently blocked.

Synchronise outside calendars

If the property is also listed on Airbnb, Booking.com, Vrbo or another service, import each external iCalendar feed into the matching property calendar and export your WordPress bookings back where supported. This synchronisation normally transfers blocked availability rather than complete booking details.

Do not treat iCalendar as real-time protection against double bookings. Feeds can refresh at intervals, fail silently or be configured twice, leaving a short window in which two guests can reserve the same dates. Check every connection after setup and keep a manual fallback for urgent blocks.

Test the full reservation

Test an available date, an unavailable date, a boundary date, a minimum-stay violation, a failed payment, a pending request, a cancellation and a booking made from a mobile device. Verify the date appears correctly in the admin calendar and that the same property cannot be booked twice.

On Friday afternoon, the failure you most want to catch is a calendar that still shows a booking as available after payment. Keep the booking email, admin calendar and external calendar open during testing, and manually block any dates already booked elsewhere.
