How to manage support tickets for an Easy Digital Downloads store

Utilities Time About 30 minutes 6 steps Updated 1 Sep 2026

The short answer

Easy Digital Downloads records orders but does not include a full customer support ticket workflow. A contact form and shared inbox can work for a small store, but you need a ticketing plugin for status tracking, agent assignment, customer replies, and order-linked support.

The route
  1. 01Choose your support workflow
  2. 02Set up the manual route
  3. 03Match each request to an order
  4. 04Add a ticketing system
  5. 05Capture EDD details in tickets
  6. 06Configure agents and alerts

What you need

  • An Easy Digital Downloads store with products and orders
  • WordPress administrator access
  • A support email address
  • An SMTP mail setup for reliable notifications

Choose your support workflow

Decide which requests you will handle: download problems, failed payments, licence questions, refunds, and general product questions. Create a short list of categories and agree on statuses such as Open, Waiting for customer, and Resolved.

For a small store, a shared support inbox can be enough. As soon as several people handle replies, email alone makes ownership and follow-up difficult.

Set up the manual route

Create a WordPress support or contact page and ask for the customer’s name, email address, order number, product, and a clear description of the problem. Tell customers not to send payment-card details or passwords.

When a request arrives, open Downloads > Orders in the WordPress dashboard and search for the customer or order number. EDD provides order records and customer purchase information, but this manual approach has no proper queue, assignment history, status workflow, or automatic link between a message and an order.

Match each request to an order

Before replying, confirm the customer’s email address, order status, purchased product, and any download or licence details in EDD. For guest purchases, ask for the receipt email or order number because there may be no WordPress user account to connect to the request.

Keep the order number in the email subject or your support notes. The common Friday failure is replying from a shared inbox without recording the order reference, leaving the next agent to repeat the lookup.

Add a ticketing system

Install and activate a WordPress helpdesk plugin when you need a customer-facing ticket list, replies stored in one thread, agent assignment, statuses, or reporting. EDD itself handles commerce records; ticket management is an additional function.

For a SupportCandy setup, create a support page containing [supportcandy], publish it, then select it under Support > Settings > General Settings > Page Settings. If you only want a submission form, use a separate page with [wpsc_create_ticket].

Capture EDD details in tickets

Add fields that ask which product or order the customer needs help with. In SupportCandy, create the fields under Support > Custom Fields > Ticket Fields, choosing the EDD Order or EDD Product field type, then add those fields under Support > Custom Fields > Ticket Form Fields.

The EDD integration can let customers choose an order or product while opening a ticket, and agents can view related order information inside the ticket. On stores using the relevant purchase-history flow, a customer can also use a help action from purchase history to start a request for that order.

Configure agents and alerts

Create support agents or agent groups, then decide who handles technical issues, payment questions, and refunds. You can assign tickets manually, or create assignment rules based on fields such as category, subject, customer, or status.

Set the status behaviour for customer and agent replies, and enable notifications for new tickets, replies, status changes, and assignment changes. Notifications are disabled by default in SupportCandy, and an SMTP plugin is required for dependable delivery. Send a test ticket before directing customers to the new support page.

Fast way: use SupportCandy EDD Integration when your download store needs assignment, status tracking, order-linked tickets, and alerts without maintaining a manual inbox process. Configure the support page, add the EDD Order field, create your statuses, assign agents, and test one customer ticket from submission to resolution.

Questions

Does Easy Digital Downloads include support tickets?
No, Easy Digital Downloads records orders, customers, payments, and downloads but does not provide a complete customer support ticket queue. You can manage a low volume of requests with a contact form and shared inbox, then look up each order under Downloads > Orders. Use a helpdesk plugin when you need stored conversations, assignment, statuses, or automated follow-up.
Can I manage support manually without a plugin?
Yes, a contact form or support email can work for a small EDD store with one person answering requests. Ask for the order number and product, then check the purchase under Downloads > Orders. The drawback is that email does not give you a reliable ticket queue, status history, agent ownership, customer portal, or automatic order selection.
How should customers identify the purchase they need help with?
Ask customers for the order number, receipt email, and product name. A ticketing integration can improve this by adding EDD Order and EDD Product fields to the ticket form, allowing customers to select the relevant purchase and helping agents see order details in the ticket.
Why are support ticket emails not arriving?
Support ticket emails often fail because notifications have not been enabled or WordPress email delivery is unreliable. In SupportCandy, check Support > Email Notifications, enable the events you need, confirm the sender and recipient settings, and configure SMTP. Create a test ticket after changing the settings rather than assuming the email was sent.
Can agents assign and change the status of EDD support tickets?
Yes, a ticketing system can let agents assign requests and change workflow status, while an EDD integration supplies the product or order context. In SupportCandy, assignment and status changes depend on agent permissions and can also be automated with assignment rules based on ticket fields.
