How to create coaching programs on WordPress
WordPress alone cannot run a proper coaching programme with protected member access, milestones, progress tracking, scheduling and coach-client messaging. You can assemble those parts with membership, LMS, booking and messaging plugins, but a coaching add-on is faster for most sites.
- 01Map the programme first
- 02Choose the manual setup
- 03Build the learning content
- 04Set access and enrolment
- 05Add coaching operations
- 06Use a coaching add-on
What you need
- A self-hosted WordPress site with HTTPS
- Administrator access
- Your programme outline, milestones and client resources
- A membership or LMS plugin, unless using a dedicated coaching add-on
Map the programme first
Write down the programme structure before installing anything. Decide whether clients start immediately or join a fixed cohort, then list each milestone, its due date, the lesson or resource attached to it, and any recurring habits or check-ins.
Keep the first version small. A clear six-week programme with one outcome per week is easier to manage than a large course library with no defined client journey.
Choose the manual setup
WordPress does not provide membership access rules, LMS progress tracking, cohort management, appointment booking or private coach messaging by itself. For a manual build, combine a membership plugin for access control, an LMS for courses and progress, a booking plugin for sessions, and a messaging or community plugin for client conversations. LearnDash, for example, provides course progression and groups, while Tutor LMS provides content-drip and prerequisite options when its relevant add-ons are enabled.
This route is fine for a small programme or an existing site that already has these tools. Its drawback is maintenance: you must connect access, enrolment, progress, booking and messaging yourself, and diagnose which plugin is responsible when a client cannot see the next lesson.
Build the learning content
Create the course, lessons, topics, worksheets and videos in your LMS. Use linear progression when clients must complete each step in order, or free-form progression when they can choose their own route. If the programme is released weekly, configure content drip by date, days after enrolment, sequential completion or prerequisites, depending on the LMS you choose.
Do not assume that adding a lesson later will reset existing clients’ progress. Some LMS platforms keep a completed course marked complete after its structure changes, so decide how revisions will work before clients enrol.
Set access and enrolment
Connect the programme to a membership level, product or protected course so only enrolled clients can view it. Check the full journey as a test client: registration, payment or manual enrolment, login, course access, lesson completion and cancellation.
For cohort-based programmes, define whether each client starts on enrolment or on a shared start date. With CoachKit, a client can be enrolled through a membership only when the programme has an open cohort; a fixed cohort also stops accepting enrolments after its start date.
Add coaching operations
Set up the practical parts around the lessons: a booking page, session reminders, a private message channel, a place for session notes and a clear way to submit questions or assignments. Keep the booking calendar separate from the course timetable unless your chosen system joins them.
Test time zones, unavailable dates, cancelled appointments and notification emails. Also check permissions: coaches should see their assigned clients without automatically receiving administrator access.
Use a coaching add-on
For the fast route, use MemberPress CoachKit with MemberPress. Create a programme, add at least one cohort, assign a coach, choose a dynamic or fixed schedule, then add milestones and recurring habits. Milestones can have due dates, check-in questions and attached courses or downloads; habits can repeat daily or weekly within the programme timeframe.
Assign the programme to a membership so subscribing clients are enrolled automatically. Connect a supported scheduling service for appointments and enable messaging notifications. Before launch, confirm that a cohort is open, the client can see the Coaching area, and every milestone and habit appears on the intended dates.

Questions
- Can I create a coaching programme with WordPress alone?
- No. WordPress core can publish pages and manage users, but it does not provide the connected membership, programme progression, cohort, scheduling and private messaging features a coaching service usually needs. You can build a basic private pilot with pages and forms, but a live paid programme needs plugins or a dedicated coaching system.
- Should I use an LMS or a coaching plugin?
- Use an LMS when structured lessons, quizzes, assignments and course reporting are the main requirement. Use a coaching plugin when the programme also depends on milestones, habits, cohorts, appointments and client messaging. A hybrid setup can work, but every additional plugin creates another access and notification system to maintain.
- How do I release coaching content weekly?
- Use content drip or scheduled release settings in your LMS, or attach content to dated milestones in a coaching system. Check whether the schedule is based on the client’s enrolment date or a fixed cohort date. Mixing those two models is a common reason clients see lessons earlier or later than expected.
- Why cannot a new client see the coaching programme?
- First check that the client has the correct membership or course enrolment. Then check that the programme is linked to that access rule, the cohort is open, and the cohort has not passed its fixed start date. In CoachKit, a membership subscription can succeed without programme enrolment when no eligible cohort is open.
- Can one WordPress user be both a coach and a client?
- It depends on the system. CoachKit does not allow a user assigned as a Coach to be a Client on another programme at the same time, so use a separate account if a coach needs to take a programme as a student. Check role and permission rules before inviting staff or testing the client journey.
