How to enroll groups in WordPress courses

Membership & LMS Time About 25 minutes for a manual group 6 steps Updated 14 Oct 2026

MEMBERSHIP & LMS
The short answer

In LearnDash, create a group, assign its courses, then add existing WordPress users as Group Users. This manual route is fine for small cohorts; for larger organisations, use a group-registration tool for forms, payments, invitations and bulk enrolment.

The route
  1. 01Choose the group workflow
  2. 02Create the LearnDash group
  3. 03Assign a group leader
  4. 04Add the learners manually
  5. 05Check access with a test account
  6. 06Use bulk registration for larger cohorts

What you need

  • A WordPress site with LearnDash installed
  • Administrator access
  • The courses you want to assign
  • Learner email addresses or existing WordPress user accounts

Choose the group workflow

Decide whether you will add learners yourself or let an organisation’s Group Leader manage them. A LearnDash Group is the useful unit because courses assigned to the group are available to its Group Users. For a small cohort, manual assignment is usually enough. For recurring organisation-wide enrolment, plan for a front-end registration or CSV workflow.

If learners must not join by themselves, configure the group’s access settings for administrator-controlled enrolment rather than leaving an open self-enrolment route. LearnDash supports manual user assignment through the group settings or user profile.

Create the LearnDash group

In the WordPress dashboard, go to LearnDash LMS and create a new group. Give it a clear name such as Acme onboarding - October 2026, then publish or save it.

Edit the group and open its course settings. Assign every course that this cohort should receive. Do not assume that adding users to a group will include courses that have not been assigned to that group.

Assign a group leader

Use a Group Leader when somebody at the client organisation needs to manage learners or view progress without receiving full administrator access. First give the person the Group Leader role from Users, then edit the group and assign that user in the Group Leaders section.

Check the Group Leader capability settings before handing over access. Basic capabilities normally limit management to the leader’s own groups, while advanced capabilities can expose wider site administration. Test with a separate Group Leader account before inviting a client contact.

Add the learners manually

Edit the group and find the Group Users section. Select the existing WordPress users who should receive access and move them into the assigned users list, then save the group.

Once they are assigned, Group Users receive access to the courses attached to that group. If a learner does not appear in the list, create the WordPress account first or check that you are searching the correct user account. Adding a learner directly to one course instead of the group can also leave group reports incomplete.

Check access with a test account

Sign in as a test learner and confirm that the expected courses appear in the learner dashboard. Also check that the learner cannot see courses intended for another group, especially if your site uses several cohorts.

Then sign in as the Group Leader and confirm that the correct group, users and course reports are visible. A missing Group Leader assignment, insufficient capability, or a course omitted from the group is usually the reason a manager cannot see the expected data.

Use bulk registration for larger cohorts

Fast way: use LearnDash Group Registration when an organisation needs to buy or allocate multiple course seats. Set up LearnDash, WooCommerce, the LearnDash WooCommerce Integration and the group-registration extension, then create a WooCommerce product connected to the required LearnDash courses.

After purchase, the buyer can become the Group Leader and add learners through a front-end dashboard, either one at a time or by CSV where enabled. This is the better route when you need custom registration fields, payment handling, email notifications, seat limits or group reporting. For a handful of learners, the native manual method above is simpler and avoids adding another moving part.

Questions

Can I enrol several learners in a LearnDash course at once?
Yes. The native method is to create a LearnDash Group, assign the course to it and add the learners as Group Users. Every assigned user receives access to the group’s courses. For larger cohorts, a group-registration extension can provide a front-end form or CSV workflow instead of making you add each account in the dashboard.
Do learners need WordPress accounts before I add them to a group?
For the native manual method, learners need to exist as WordPress users before you select them in the group’s Group Users list. A registration extension can create accounts during the enrolment process when an email does not already match a user, which is useful when an organisation sends a new learner list.
Why can a learner access the group but not the course?
The course may not actually be assigned to the group, or the learner may have been added to a different group or user account. Edit the group, confirm the course is listed in its course settings, confirm the learner is an assigned Group User, and test while signed in as that learner rather than as an administrator.
Can a client manager enrol their own staff?
Yes. Give the manager the LearnDash Group Leader role, assign them to the relevant group and grant only the capabilities they need. Group Leaders can manage users in their assigned groups when the appropriate settings are enabled, but you should test their account because advanced capabilities may expose broader management controls.
What is the quickest way to enrol an organisation?
For a small list, manually assign existing users to a LearnDash Group. For a paid or repeated organisation workflow, LearnDash Group Registration is faster because it can connect group seats to WooCommerce and provide front-end single or CSV enrolment, notifications and reporting.
